Reflections on an Epic 3-Day Event in Miami: Learning, Connecting, and Growing with Creative Agencies

Recently, I had the incredible opportunity to attend a transformative 3-day event in Miami with other creative agencies, and let me tell you – it was a game-changer. Not only did I get to connect with some of the brightest minds in the industry, but I also had the chance to dive deep into the nuts and bolts of running a creative business. From workshops and mastermind sessions to epic group activities, this event was packed with learning, networking, and a whole lot of fun.



Workshops and Mastermind Sessions: Leveling Up Our Business Strategies

The core of the event was all about gaining insights into running a creative agency more efficiently, providing even more value to clients, and driving better results on social media. We participated in a series of workshops and mastermind sessions that were not only thought-provoking but also incredibly practical. It was amazing to hear different strategies and tactics from other agencies that have already seen incredible success in areas like client retention, lead generation, and creating impactful ad campaigns.

One of the key takeaways was how we can improve not only our client's social media ads but also our own. We dug into what’s been working, what’s not, and most importantly, how to keep up with the constantly evolving world of social media marketing. We all know that creating content and ads that actually convert is challenging, but having a community of like-minded professionals to brainstorm with makes the process so much more manageable.




Breakout Sessions: Sharing Ideas for 2025 and Beyond

In the breakout sessions, we had the chance to go deeper into strategies for the upcoming year. Everyone was excited to share ideas, plans, and goals for 2025, and the energy in the room was contagious. It was amazing to see how everyone had their own approach to growth, yet we all had the same goal – to provide the best possible service and results for our clients.

Then, we gathered for a cookout at the house – the perfect chance to relax, unwind, and connect on a personal level. There’s nothing quite like bonding over a delicious meal and great conversation with like-minded individuals.

We also had the chance to explore Miami’s vibrant Wynwood district, soaking in the street art, local culture, and the incredible energy that makes this city so unique. It was a great reminder of how much inspiration is all around us, especially in a place as creative as Miami.

Now that we’re back, we’re fired up and ready to implement everything we’ve learned into our own work. We’re especially excited about using the strategies from the event to help our clients take their businesses to the next level in 2025. This wasn’t just any commercial shoot—it was a full-scale production designed to highlight one of the fastest-growing franchises in the U.S. And to create an end product that met the client’s vision while showcasing our strengths as a video production and photography agency, we doubled down on one critical aspect: pre-production.

Why Pre-Production is (Almost) More Important Than Production Itself

Agree or disagree, pre-production can often matter just as much as production, if not more. It’s that intense, behind-the-scenes work that determines the success of the entire shoot, ensuring every scene aligns with the vision, every shot serves a purpose, and every team member is crystal clear on their role.

At its core, pre-production is the blueprint that allows everything to flow effortlessly once you’re on set. For Jeremiah’s Italian Ice, our approach involved multiple layers of preparation that were absolutely essential to the project’s success.

The Power of Preparation: 20+ Hours of Meetings

For this project, we didn’t just hop on a quick call and make a few notes. Instead, we conducted over seven in-depth meetings, each lasting between 2 to 3 hours. With close to 20 hours of pre-production meetings alone (not to mention all the additional planning behind the scenes), we took a deep dive into every single detail. We mapped out creative concepts, timing, shot lists, and backup plans—leaving no room for surprises on the day of the shoot.

This level of preparation allowed us to anticipate potential challenges, create a clear roadmap for the shoot, and ultimately, deliver a polished, on-brand final product. By setting aside ample time to understand our client’s vision and goals, we ensured that every aspect of the shoot aligned with their brand image and messaging.

Team Collaboration: The Key to a Stress-Free Shoot

Having a rock-solid team was a huge part of what made this shoot successful. My assistant producer, Serena, played a crucial role in managing logistics, organizing meeting notes, and keeping the entire team on track. With each team member aware of their responsibilities, we had no last-minute scrambling or on-set stress—just smooth, organized execution.

And trust me, when you’re working with a brand like this, you just can’t afford to mess up. ⁠

That’s why we went all out in pre-production.⁠

We didn’t just hop on a quick call and wing it. ⁠

We had over 7 deep-dive meetings, each lasting anywhere from 2 to 3 hours. ⁠

Yeah, that’s about 20 hours of solid prep work in calls alone, that's not counting the additional work done outside the meetings. ⁠

But it paid off BIG TIME!⁠

I know it’s tempting to skip ahead to the fun stuff—filming, editing, all that jazz. ⁠
